Board Meeting (10/7/08)

Bath-house maintenance

Dan Colis (ph:206/947-9026), is on contract by the city of Bellevue to clean and paint the main building. Dan has pressured washed the bath-house (our portion), and will paint it. Total cost $850. Dick Dickson, of the City, has suggested we contract with Dan directly. Board approved the expenditure and decided on a light green color.

Finances

Discussion on landscape maintenance. “Choice Gardens,” handled sand placement, replaced rotted steps, improved safety of entrance, moved signage, took down the fence. They completed the work, and then issued a bill with substantial cost overage. Moving forward, Van proposed that we “bank” hours for maintenance, to ensure predictability of fee for service. Items that need to be factored in:

  • Improving safety of the retaining wall
  • Tree maintenance and removal — need to get bid from Gentle Ben tree company

2009 budget projection: $12,300

  • Insurance
  • Landscape/bath-house maintenance
  • Summer BBQ
  • Garbage
  • Utilities
  • Supplies
  • Web domain name and ongoing hosting
  • Administrative fees

Dues:

  • 108 people paid dues during 2008 – fairly good activity compared to prior years.
  • Current dues are $60/household. Homeowners approved an increase to $85/household for 2009.
  • However, based on 2009 budget projections, annual dues would need to be $130/household to break even. Merrilee asked what should be done regarding homeowners who don’t pay dues.

Special fall meeting:

Board agreed to issue an email, notifying homeowners of an upcoming fall meeting:

Thursday, Oct 30 at 7 pm, at Perry and Kathy England’s home

Purpose of the meeting:

  • Propose multi-tier dues structure
  • Discuss overall improvements and anticipated budget to maintain existing quality
  • $85 for standard dues
  • $150 for base usage
  • $175 for ongoing usage
  • $200 for family usage

Work-party scheduled for noon, Sunday, Oct 12. Duties:

  • Move lumber
  • Install doggie dispenser
  • Bring in trampoline
  • Clean up tunnel/graffiti
  • Install shed doors

Discussed security issues and summer incident involving vandalism and loss of one paddleboat. Family members have agreed to pay back expenses in volunteer time. No further incidents have occurred. Van will run reports based on code usage. The suggestion was made to reinforce the code usage at each meeting, and to include a cut-off date — if dues are not paid, code will be locked. Will include signage at the fence, noting how to input the code.
