Board Meeting (3-19-24)

The virtual meeting via MS Teams was called to order by President, Perry England. 10 members present: John Raffetto, Michael Hensel, Cathy Relyea, Orien Kuang, David Ciccanti, Ann Lanning, Emad Elwany, Hubert Ogier, and Vibhor Bhatt. Emeritus Board Member Merrilee George also attended. Secretary confirmed quorum was met. Everyone was notified that the meeting was being recorded and transcribed via MS Teams.

President Perry England informed board that his property has sold and is expected to close on March 29, 2024. Board has received the President’s Notice of Resignation and transition plan to find a new president was noted. Vice President, John Rafetto, will fill role during transition. John stated this is temporary and a permanent person is needed.

Ann Lanning presented the Secretary’s report. Past Annual Meeting Minutes were sent and reviewed by board members. No questions were received regarding past minutes. Ann requested an in-person board meeting to discuss management plan for member spreadsheets, renter records, and general membership communication plan. The meeting was scheduled for Tuesday, April 2 at 7 pm at Cathy Relyea’s home.

David Ciccanti presented the Treasurer’s Report which included payment to Roger Childs for beach club cleanup and maintenance. A collection of past dues was received from a member which amounted to $3,000. This takes our delinquent accounts down from 12 to 11. We have 134 homes in our membership. Insurance policy of $3,070 was paid and upcoming renewal of Board Liability Insurance in the approximate amount of $1463 is expected in May/June. Current term covers 6/23/23 – 6/23/24. A review of other financials will be covered at the April Board meeting. Discussion of dues for the coming year followed. Recommendations were to raise dues to $175 to build reserves over time. This recommendation went to vote and was unanimously approved by board members.

Cathy Relyea opened a discussion regarding general upkeep and maintenance of beach club property and the need for additional support as we move forward. A suggestion was made to fill the role of Facilities Manager. Responsibilities would include small repairs, keeping a general eye on the place, communication, etc. Reassessment of our needs and goals is recommended. Remainder of agenda to be covered at board meeting on April 2.

The Annual Beach Club Meeting will be Tuesday, May 21, 2024 at 7 pm at the Beach Club.

The Annual Beach Club Barbecue will be on Sunday, July 14 at 4 pm.
